School Excursion Attendance Checklist

A practical checklist to help educators plan attendance checks before departure, at key excursion checkpoints and on return.

Why excursion attendance planning matters

Excursions involve moving students through several transitions in a single day — leaving the school grounds, boarding transport, arriving at a venue, moving between activities, and eventually returning. Each transition is a point where a student could be missed if attendance is only checked once or twice. Planning attendance checks in advance, rather than relying on memory on the day, helps educators build a consistent and repeatable process at every checkpoint.

Before the excursion

  • Confirm the final list of attending students against permission forms and medical or dietary notes.
  • Identify and document each planned attendance checkpoint for the day.
  • Assign staff responsibility for attendance checks at each checkpoint.
  • Prepare wearable QR identification or a printed backup list, depending on your chosen verification method.

Before leaving the school

  • Verify every attending student is present before departure.
  • Record any last-minute absences or additions to the group.
  • Confirm staff-to-student ratios meet your organisation's requirements.

When boarding transport

  • Check each student as they board the bus or vehicle.
  • Confirm the total boarded count matches the expected group size.
  • Note which staff member travelled with each vehicle or group.

On arrival at the venue

  • Verify all students on leaving transport at the venue.
  • Brief students on venue-specific meeting points and boundaries.
  • Confirm supervision groups before students disperse.

During movement between groups or locations

  • Check attendance whenever a group changes activity or location.
  • Confirm handover between staff supervising different groups.
  • Record any student movement between groups, such as a toilet break or first aid visit.

Before leaving the venue

  • Complete a full attendance check before departing the venue.
  • Confirm lost property, belongings and any medical equipment are collected.
  • Recheck the group once assembled at the departure point.

On return to school

  • Verify every student on arrival back at school.
  • Confirm the final count matches the number that departed, accounting for any approved early pickups.
  • Notify relevant staff once the excursion group has safely returned.

Early pickups and attendance changes

Where a parent or guardian collects a student early during an excursion, it helps to record who collected the student, the time of collection, and which staff member verified the handover. Keeping this noted against the excursion attendance record helps the final headcount remain accurate for every remaining checkpoint.

Post-excursion record keeping

Once the excursion concludes, it is good practice to consolidate attendance records from each checkpoint into a single, dated record for the organisation's files.
